We are currently looking for a Business Services & Events Assistant to join our Bristol office on a permanent basis; this is a great opportunity to support the core business in delivering premier legal services in one of the UK's fastest growing law firms. In this role you would support the Office Manager in providing an efficient, flexible and effective front and back office support service to both internal and external clients.
As a Business Services & Events Assistant, your day-to-day would be very varied, where you would use a variety of skills to provide excellent and professional service within the daily operations of the firm, from processing mail, photocopying, liaising with contractors, to meeting with external clients and covering Reception and Events. This role will require a flexible approach to working arrangements and locations owing to involvement in a rota system that sometimes requires an ad-hoc approach. This role will be part of a busy, friendly unit in a fast-paced environment. The hours of this role are working on a rota system from 08:00 – 18.00 Monday to Friday with occasional extended hours of work.
What you'll do
- Collecting and processing incoming/outgoing mail, photocopying and scanning.
- Document production – binding, laminating, paginating.
- Handling cheques and monies on behalf of lawyers.
- Stock control for stationery, toners and IT consumables and processing of stationery and stock orders.
- Maintaining both internal and external office appearance through basic office maintenance.
- Liaising with engineers and contractors.
- Ensuring workplace meets with health & safety compliance procedures.
- Arrangement of conference facilities including audio visual equipment.
- Provision of Reception and Events cover.
- Serving refreshments and food to internal and external clients.
What we're looking for
- Outwards presentation of a professional and positive 'can do' attitude and image, exhibiting passion and pride in your work.
- Excellent interpersonal and written/verbal communication skills to deal with a range of people internal and external to the business.
- The ability to deal with a variety of tasks; multitasking and working flexibly within a team.
- Excellent IT literacy and experience
- Knowledge of Health and Safety legislation and practices is desirable
- The ability to understand and work in accordance with the Firm’s policies and procedures.
